Photography and filming at CHA
Official photographers, filmmakers, broadcasters and accredited journalists may record arrivals, stage activity, award presentations, audience views, receptions and other event moments. Visible signage and pre-event information support this notice.
Attendance at a public-facing awards event means a person may appear incidentally in wide-angle or background coverage. CHA still considers reasonable objections and does not treat attendance as blanket permission for every individual promotional use.
Why event media is created
- News, editorial and event coverage.
- The official CHA archive and historical record.
- Awards reporting, programme highlights and institutional communications.
- Proportionate promotion of future CHA editions and The Health Show.
- Security or incident review where a recording is relevant and lawfully available.
CHA relies on its legitimate interests and the public-event context for proportionate general coverage, balanced against attendee rights. Arranged individual productions are handled separately below.
If you prefer not to be featured
Contact the guest team before the event, note the request during RSVP, or speak to registration on arrival. CHA will make reasonable efforts to advise official media teams, adjust seating or positioning, and avoid deliberate close-up use where practicable.
It may not be possible to exclude a person from every background, crowd or live-broadcast shot. A later request concerning a specific published image or video will be assessed against privacy, expression, archival, public-interest and legal considerations.
Interviews, testimonials and individual shoots
Specifically arranged interviews, testimonials, Health Show appearances, nominee profiles and individual promotional shoots require a clearer release or recorded consent appropriate to the production. The release should identify the content, channels, purpose, editing context and withdrawal limits after publication.
A media release should not be bundled into an unrelated RSVP, nomination or volunteer application unless the appearance is genuinely necessary and clearly explained.
Accredited press and media conduct
Accredited media must respect access zones, safety directions, private guest areas, embargoes, interview protocols and reasonable requests concerning vulnerable individuals or confidential conversations. Accreditation does not authorise hidden recording, intrusive harassment, commercial resale of access or use of CHA branding as an endorsement.
External media organisations remain independently responsible for their own lawful newsgathering and privacy practices.
Requests, retention and contact
Official event media selected for the public archive may be retained as part of CHA’s institutional history. Unselected raw footage and duplicate files should be reviewed and reduced under the approved media-retention schedule. Security footage, where used by the venue, is governed by the venue’s own documented retention arrangement.
