Eligibility and authority to nominate
A nomination must relate to the published category criteria and the relevant awards cycle. A nominator may recommend another person, team or institution, or submit a permitted self-nomination where the category guidance allows it.
The nominator must be entitled to provide the information submitted. Where information concerns another person, the nominator should tell that person where reasonably practicable and must not disclose confidential, restricted or unlawfully obtained information.
The Capital Health Awards University Laureate Prize for Student Excellence is different: only an authorised member of staff of one of the 80 invited institutions may submit through the institutional route. Each institution’s CHA-UNI reference is matched to that institution and permits one completed nomination. Verification of a code does not guarantee eligibility, shortlisting or an award.
The accuracy declaration
The final accuracy checkbox is a declaration: the nominator confirms, to the best of their knowledge, that the material is accurate and may be used for nomination assessment and verification. It is not consent to marketing.
The separate “I have read” checkbox records acceptance of these Nomination Terms and acknowledgement of the Privacy Notice. It does not replace a lawful basis or any specific consent required for unrelated processing.
Evidence and patient confidentiality
Do not upload identifiable patient records, medical records or other confidential health information. Evidence containing patient information must be anonymised or redacted before submission.
Accepted website file types are PDF, DOCX, JPG and PNG, with a maximum of 10 MB per file and three files per nomination. Executable and macro-enabled formats are not accepted. File extension, declared media type and basic file signature are checked; a file that fails validation is rejected.
A University Laureate nomination must include one institutional reference letter in PDF or DOCX format. The letter should be issued on the institution’s official letterhead and signed or otherwise formally authenticated by an authorised official. Up to two additional supporting files may be included. Do not provide a NIN, passport, banking record or unrelated identity document.
Evidence should be relevant, proportionate and capable of verification. Do not submit passwords, banking details, unrelated identity documents, copyrighted material without authority, defamatory content or links that require CHA to bypass access controls.
Assessment and verification
CHA may contact the nominator, nominee, employer, professional body, cited source or another appropriate referee to verify material. Submission does not guarantee eligibility, shortlisting, judging, attendance or an award.
For a University Laureate nomination, the nominating institution remains the primary source for confirming the student’s identity, enrolment, standing and institutional reference. CHA may also check the institution, programme or qualification against National Universities Commission records and, where relevant, an applicable professional regulator. CHA does not represent that every nomination will be submitted to the NUC.
Judges may consider the published criteria, evidence quality, measurable contribution, professional integrity and available due diligence. CHA may request clarification, decline incomplete material or move a nomination to a more appropriate category where fair and practicable.
Confidential review and later publicity
Online nomination records and evidence are not public. Access is restricted to authorised CHA personnel and judges who need it for the process. Submitted files are stored under random private keys and are not available through public predictable links.
If a nominee is shortlisted or selected, CHA will contact the nominee before using non-public personal material for a citation, profile, interview or individual promotional production. Publicly available professional information may be used for proportionate awards reporting, subject to accuracy and applicable rights.
Independence and disqualification
Partnership or sponsorship does not determine nomination, judging or award outcomes. CHA may reject or withdraw a nomination affected by material misrepresentation, impersonation, bribery, harassment, fabricated evidence, confidentiality breaches, conflicts that were concealed, or conduct that undermines the integrity or safety of the process.
An institutional reference must not be shared publicly, transferred to another institution or used to submit more than one student. A successful submission permanently locks that reference to the resulting nomination record.
Where fairness permits, CHA may seek clarification before taking a final integrity decision. Some information may be preserved where required for a dispute, investigation or legal duty.
Corrections, withdrawal and retention
A nominator or nominee may request correction or withdrawal by quoting the nomination reference and providing sufficient verification. Withdrawal may stop future assessment but does not automatically erase information that CHA must retain for a live dispute, legal duty or demonstrable process-integrity need.
Withdrawal of a University Laureate nomination does not automatically reactivate the institution’s one-time reference. Any exceptional replacement nomination must be authorised and issued through the CHA Secretariat so that the integrity trail is preserved.
Unsuccessful nomination material is scheduled for deletion within 12 months after the relevant ceremony. Non-public evidence for successful nominees is reviewed within 24 months. Public awards history and citations may be archived as an institutional record.
